1. What is the Automated Reminder System?
Rolotrak’s built-in reminder system takes into account all the relationships in your address book and automatically schedules contact reminders for your entire network based on the frequency you choose. You can specify a reminder frequency for all your contacts, by specific group, or even individual contact. Rolotrak takes all the work out of remembering who to stay in touch with and when! Stay connected with your entire network easily and efficiently using the reminder system.
The reminder system will also automatically spread out all your contact reminders so you don’t receive all your reminders at once. Instead, all your contact reminders for the year will be spread out evenly to minimize your work load. Once you complete or skip a contact reminder, the next reminder for that contact will be automatically scheduled based on the reminder setting (frequency) you have provided.
2. What is the Global Reminder Setting, Group Setting, Individual Setting?
The Global Reminder Setting is equivalent to ‘reminder frequency.’ Set your Global Reminder Setting to drive the frequency of contact reminders for every relationship in your address book. The reminder setting is based on the number of contact reminders you would like in a given year. For example, if you want quarterly reminders for your contacts select a value of 4, if you want annual reminders for your network select a value of 1, for monthly reminders select a value of 12, etc. From the home page, you can turn off reminders for a specific contact by selecting the Skip Turn off option. You can also drive the frequency of your reminder by group and individual. For example, if you’d like to stay in touch with your Business group quarterly and your Personal group monthly, you can specify these settings under ‘My Settings.’ Make sure you group your contacts before choosing a new Group setting. You can also manually change the reminder frequency for an individual contact by visiting the contact’s profile page and editing the reminder setting under ‘Reminder Details.’ Please note that if you change an individual’s reminder setting it will take precedence over the Group and Global Reminder Setting. For example. If I manually change the reminder setting for ‘Matt’ to 5, and later decide to reduce the frequency for all my contacts by changing the Global Reminder Setting, ‘Matt’s’ reminder setting will still remain the same, 5
The order of priority for the reminder system is as follows:
1. Individual Reminder Setting
2. Group Reminder Setting
3. Global Reminder Setting
You can see the date for a particular contact reminder at any time by visiting the Contact’s Profile or clicking Upcoming Reminders form the home page and navigating to the reminder you are looking for (you must be viewing reminders in List View in order to enable the Upcoming Reminders list).
3. How do I use Reminder QuickAdd?
Adding a custom reminder for any of your contacts is easier than ever using the Reminder QuickAdd text box found on your Hope page. Custom reminders must be linked to a specific contact. For example, you can enter into the text field ‘Need to call Matt about my travel plans on Aug 18’ and Rolotrak will prompt you to select the right contact and date.
Type in your reminder using any of the following date formats and Rolotrak will automatically recognize your custom reminder date:

Or, you can type your custom reminder into the text field and select the reminder date by clicking the pop-up calendar icon located to the right of the text box. Stay on top of all your contacts and be the first to reach out on important dates for your entire network!
4. How do I use Note QuickAdd?
Add notes from a recent conversation or about any contact using Note Quick Add. Simply type in what you would like to store about a contact and Rolotrak will automatically add it to a contact’s profile. Just like Reminder QuickAdd, Note QuickAdd must be linked to a particular contact in your address book. For example, just type in ‘Justin’s hometown is Kotayam, New York’ and Rolotrak will automatically store that information into Justin’s contact profile and you’ll have that information right on the home page the next time you have to reach out to him. You can access your contact’s notes by clicking on the blue notepad icon next to a contact’s name in the reminder dashboard or visit the contact’s profile page to see Notes listed under Personal Information.
5. How is my Rolotraker score calculated?
Your score bar takes into account all your contact reminders and gives you a quick percentage score of the contacts you are currently up-to-date with. For example, if you have 4 contact reminders today and complete 2 of them, you current score would be 50% (2 completed reminders / 4 total reminders). Let’s assume you have 4 more contact reminders the following day and complete all 4 this time, you’re new score for the day would now be 75% (6 completed reminders / 8 total reminders). If you Skip a reminder because you don’t have time, Rolotraker will not credit your score.
At the start of each month, Rolotraker resets your score to what it was on the last day of the previous month. You start off the new month right where you left off as you try to improve your score and move from a Passive Networker to an Active, and Super Connected one.
6. How do I move from a Passive Networker to an Active Networker?
Unlike the score tracking bar which takes into account your contact reminders, the Networking gauge dial (on the Rolotraker page) only takes into account the number of contacts you have communicated with using Rolotrak. For example, if you have uploaded 1000 contacts into Rolotrak and after a few months of using the products you have now reached out to 500 of those contacts, you would be a Passive Networker based on the calculation. The percent breakdown for each category is as follows:
Passive Networker: In touch with less than 25% of your network
Active Networker:
In touch with 25 - 75% of your network
Super Connected: In touch with greater than 75% of your network
The networking gauge is not based on the number of contacts you upload into Rolotrak so we recommend you only upload contacts that you are interested in staying in touch with. For example, if you import 10 contacts into your address book and are connected with all 10 contacts using the reminder or messaging system, you will be a Super Connected networker. Rolotrak is intended to help you the user stay better connected with your own network. Stay connected with over 75% of your contacts and reach Super Connected status. Your actual percentage can be found under the networking dial within the information box.
7. What is the Gmail plug-in and how can I get it?
The Gmail plug-in allows users who use Gmail to keep track of their current contact reminders from right inside Gmail. Complete or Skip your reminders using the widget installed in your left navigation panel. Complete a reminder by sending your contact an email, and Rolotrak automatically credits you for completing the reminders and the next time you log in to Rolotrak, you’ll see your updated score. 8. How do I use RSS QuickAdd?
Using News Feeds, users can search for content that matches the tags for their contacts. Users can search across the web or using Twitter search for their tags. Users can also add the RSS feed to their favorite blogs and sites by entering the RSS address into the QuickAdd text area. The next time you search tags for any of your contacts, Rolotrak will search from your favorite sites and blogs first before searching the rest of the web. So if you’re a CNN.com fan you can add CNN’s RSS feed using RSS QuickAdd and Rolotrak will search CNN’s feed first for articles that match the tags of your contact.
